Every business is different, so I don't sell hours off a menu. We start with a free call to understand what's going on, then agree the right way to work together.

Projects

A fixed-fee project to sort out a specific problem: a CRM set-up, a process overhaul, AI and automation, or a back end that needs untangling. Clear scope, clear price, and documentation so it keeps working after I hand over.

Ongoing support

A monthly retainer for founders who want an operations partner alongside them: regular catch-ups, priority support and follow-through, reviewed regularly so it keeps matching your needs.

What does an operations partner do?

I look after the operational side of your business, so it doesn't all live in your head. That means untangling what's going on, setting up the systems and tools that keep things running, and following through on the decisions you make.

Some clients need a one-off project to sort out a specific problem. Others want ongoing support from someone who knows their business inside out. Either way, it's flexible, fully remote, with regular catch-ups, and without the commitment of taking on an employee.

How can you help me?

Typical work includes:

  • - getting on top of a backlog and deciding what matters
  • - setting up or tidying CRMs, project management tools and client processes
  • - invoicing and admin routines, so your bookkeeper or accountant gets what they need
  • - AI tools and automations, with training for you and your team
  • - keeping UK and Spanish business paperwork organised, working alongside your accountant, gestor or asesoría

    • I'm not an accountant, gestor or lawyer, and I don't give tax, legal or financial advice. I make sure the right information gets to the professionals who do, and that the processes around it run smoothly.

    How do I know my business is safe with you?

    Letting someone into the inner workings of your business is a big step. To protect both of us, I have:

  • Professional Indemnity Insurance
  • A competent data storage and backup plan
  • Appropriate terms of business
  • Appropriate policies

    • I'm always happy to answer questions about any of these.

    How do I know my information is safe?

    I take data protection seriously and comply with the EU General Data Protection Regulation (GDPR) and Spanish data protection law. Helen May Online is based in Spain, so I'm regulated by the Spanish Data Protection Agency, the Agencia Española de Protección de Datos. For UK clients I also follow UK GDPR requirements.

    When we start working together, you'll receive my data protection documents and we'll sign a data processing agreement.

    Helen May

    After nearly fifteen years organising chief executives in London in communications and public affairs roles, I swapped the big city for a small village in northern Spain. I've spent more than a decade since then building businesses and working with founders in the UK and Spain.

    The work I love most is walking into a business that's overwhelmed, finding the calm in it, and building the systems that let the founder get back to the work only they can do. I've run Helen May Online since 2022, and I work in English and Spanish.
